What kinds of email does a website send?

Even a fairly simple website may generate more email than you realize.

Common examples include:

  • Contact-form submissions
  • Quote and estimate requests
  • Order confirmations
  • New-order notifications
  • Donation receipts
  • Booking and reservation notices
  • Membership notifications
  • Password resets
  • New-user messages
  • Security notifications
  • Website error alerts
  • Form confirmation messages

These are different from the ordinary emails you send from Outlook, Gmail, Zoho Mail, or another inbox.

They are created automatically by the website. The website then needs a reliable way to deliver them.

Why did this used to work without a special service?

Years ago, it was common for a website to create an email and hand it directly to the web server. The server would attempt to send the message, and email providers were generally more willing to accept it.

The problem is that spammers used the same basic system.

As spam, phishing, impersonation, and automated attacks became more sophisticated, email providers became much more cautious. They increasingly look for proof that a message is coming from an authorized source.

They evaluate things such as:

  • Whether the sending domain has been authenticated
  • Whether the sending server is authorized
  • Whether the sending server has a trustworthy reputation
  • Whether the message appears to be impersonating someone
  • Whether recipients have previously marked similar messages as spam
  • Whether the technical details of the message are correctly configured

This is necessary to keep enormous amounts of malicious email out of our inboxes.

Unfortunately, it also means that legitimate messages generated by a website can be rejected, sent to spam, or silently disappear when the website is relying on a basic server-based sending method.

The website itself may still report that the email was sent successfully. That generally means only that WordPress created the message and passed it to the next step. It does not prove that the message reached the recipient.

What does an SMTP delivery service do?

SMTP is simply the standard system used to transfer outgoing email.

For this service, we connect your website to a professional email relay instead of asking the website server to deliver important messages by itself.

You can think of it as the difference between leaving an unmarked envelope on a random counter and taking it to a professional mail service that can identify the sender, track the handoff, and report problems.

We authenticate the service for your domain so receiving email providers have evidence that it is authorized to send on your behalf.

This does not force every email provider to place every message in the inbox. Nothing can do that. It does, however, make website email considerably more dependable and much easier to troubleshoot.

Email Logging and Troubleshooting

We maintain records of the emails generated by your website and the results reported by the delivery service.

If an expected message does not arrive, these records help us determine whether the website generated it, whether it was successfully sent, and whether the receiving email provider accepted or rejected it.

This gives us much more useful information than a standard WordPress setup, which may simply report that an email was “sent” without showing what happened afterward.

Why not send through your normal employee mailbox?

In some cases, a website can be connected to Google Workspace, Microsoft 365, or another mailbox provider.

That approach can work, but it often introduces additional passwords, security approvals, account permissions, sending restrictions, and complications when an employee leaves or changes a password.

A dedicated website-delivery service keeps automated website messages separate from an individual employee’s mailbox.

It is easier to manage, easier to troubleshoot, and less likely to stop working because someone changed an unrelated account setting.

Service limits

The standard service includes:

  • Up to 1,000 website-generated emails per calendar month
  • Up to 200 website-generated emails in a 24-hour period
  • Normal transactional email generated by one hosted WordPress website
  • Recent WordPress sending logs
  • Recent relay delivery reports
  • Routine delivery troubleshooting

Most small-business websites use far less than the included allowance.

What the service may be used for

The service is intended for transactional and administrative website email, including:

  • Contact-form notifications
  • Confirmation messages
  • Order and payment notices
  • Booking notifications
  • Donation receipts
  • Password resets
  • Account messages
  • Security and system notifications

It is not a bulk-email or email-marketing service.

The service may not be used for:

  • Newsletters
  • Promotional campaigns
  • Mailing-list announcements
  • Cold email
  • Purchased email lists
  • Mass solicitations
  • Email sent primarily for advertising
  • Any unsolicited or abusive sending

Services such as Mailchimp, Brevo, Constant Contact, or another email-marketing platform should be used for newsletters and campaigns.

What happens if the limit is exceeded?

We will normally receive a warning as an account approaches its monthly allowance.

If the higher use is legitimate and temporary, we may be able to increase the allowance for that period.

If the website regularly sends more than the included amount, we will recommend a higher-volume arrangement and provide pricing before making the change.

If a website reaches its hard sending limit before it is increased, additional messages may be rejected until the allowance is increased or the monthly period resets.

A sudden increase can also indicate:

  • A broken form or plugin repeatedly sending messages
  • A notification loop
  • An automated spam attack
  • A compromised website
  • A large number of fraudulent orders or registrations

In those cases, we may temporarily restrict sending while we investigate. This protects the client, other users of the service, and the reputation of the email-delivery system.

Is delivery guaranteed?

No responsible provider can promise that every email will reach every inbox.

The recipient’s email service still has final control. It can place a message in the inbox, send it to spam, reject it, delay it, or apply a company-specific filter.

Managed delivery gives your website the correct technical foundation and allows us to see much more of the delivery process. It greatly reduces uncertainty, but it cannot control every recipient’s mail server.

Does this replace our business email?

No.

Your existing business email service continues handling the messages employees send and receive from their inboxes.

Managed Website Email Delivery handles messages created automatically by the website.

The two services work alongside one another.

What if an email still does not arrive?

Contact us and provide:

  • The approximate date and time
  • The form or website action involved
  • The intended recipient
  • Any known subject line

We can then review the WordPress log and delivery report to see what happened.

Depending on the result, we may find that:

  • The website never generated the message
  • The message was successfully sent
  • The recipient’s server accepted it
  • The recipient’s server rejected it
  • The address was incorrect
  • The message bounced
  • The message was blocked because of a sending limit
  • The email is likely in a spam or quarantine folder

That is considerably more useful than simply being told that WordPress “sent” it.
